What changes compared with a wedding

At a corporate event the flowers do not tell a couple's story, they carry a brand or a message. What matters is consistency with the company colours, often tight set-up times, controlled access (badges, loading slots, goods lifts, trade fair regulations) and the ability to work with agencies, stand builders and technical crews. A good floral designer for companies can read a brief and answer with a design, not just a list of flowers.

There are many occasions: conferences and conventions, company dinners and award ceremonies, openings, product launches, trade fair stands, client events in hotels or historic residences. Each has its own scale. The guide to floral design for corporate events goes through them.

What gets styled

  • Welcome area: entrance, registration desk, cloakroom. It is the first image of the event.
  • Stage and plenary hall: low arrangements in front of the stage, plants at the sides, flowers on the speakers' table. Watch out for cameras and the speakers' visibility.
  • Dinner or lunch: centrepieces, head table, buffet. The rules are the same as for a wedding table: heights that do not block conversation, and no treated flowers close to food.
  • Stands and trade fairs: arrangements that last several days, plants, green walls, with daily maintenance if needed. Read the guide to flowers for product launches, trade fairs and stands.
  • Photo corners and installations: flower walls with the logo, arches, hanging pieces. For the most theatrical projects see the page on floral installations.

Timings, access and safety

In conference centres and trade fairs, set-up has fixed windows, often overnight, and breakdown must be finished by a strict deadline. Get the venue's regulations and pass them to the floral designer before the quote. Ask too whether fire-retardant or certified materials are required for structures and fabrics, and check the rules on candles: many venues do not allow open flames. For large events, with many rooms or several days, read the guide to flowers for large events.

How much floral design for a corporate event costs

There is no standard price: every event is a project of its own. The items are flowers and greenery, design work, set-up and breakdown hours (with possible night or holiday surcharges), transport, hire of vases and structures, and maintenance for multi-day events. Seasonal flowers and hired potted plants bring the bill down; imported flowers and hanging installations push it up. Ask for an itemised quote with VAT shown, and compare it with what the stand builder or venue already includes. The guide to the extra costs of floral design helps you avoid surprises.

Flowers that do not end up in the bin

Many companies now ask for more sustainable designs: local and seasonal flowers, hired potted plants, no floral foam, flowers donated or given to guests at the end of the event. It is also a good communication point. See the page on dried flowers and sustainable floral designers.

What to ask before you confirm

  • Have you worked at this venue? Do you know its timings and access rules?
  • Can you present a design with renderings or a mood board?
  • How do you handle brand colours and materials?
  • For multi-day events, who takes care of maintenance?
  • What happens to the flowers at the end of the event?

If the event is a formal dinner or a gala evening, see also the page on high-end events. For regular flowers in offices, hotels and showrooms there is the page on flower subscriptions. Once you have a venue, a date and a guest count, ask for up to 3 quotes.

Frequently asked questions

How much does floral design for a corporate event cost?

It depends on size, duration, type of flowers and set-up hours. There is no standard price: ask for an itemised quote with transport, hire and maintenance shown separately.

How far ahead should we book?

For conferences, trade fairs and end-of-year dinners it is worth booking early, because the busiest periods overlap. A small event needs less notice, but there must still be time to order the flowers.

Will the flowers last for a multi-day event?

Yes, if you choose long-lasting flowers and plan maintenance: topping up water and replacing tired stems. For stands and trade fairs many companies choose potted plants, which last longer.

Can the floral designer work with our events agency?

Yes, it is the most common set-up. The agency should share the brief, floor plan and timings early, and there should be a single contact person for decisions.
